At Wethos, we understand that time is one of your most valuable resources. Running your business can involve a lot of repetitive tasks, and recreating proposals and invoices from scratch eats up precious time. That’s why Wethos offers the ability to save and duplicate your data such as scopes of work, invoices, and contract terms, to help you streamline your workflow, maintain consistency, and focus more on delivering great work. This article will guide you through how to re-use your project data effectively.

Duplicating Existing Projects and Invoices

Nearly all Pro users take advantage of the advanced feature to duplicate their existing documents. The easiest way to build out a new proposal or invoice is to leverage something you’ve already created. After you’ve built out your first proposal or invoice, go ahead and duplicate those for future projects and easily edit to fit the new project or client needs:

  • Duplicating a Project from the Project Table:
Need to use a similar proposal for a different client? You can duplicate an existing project to maintain consistency while speeding up the creation process.

Save time when creating invoices by duplicating an existing one. This is particularly useful if you frequently bill clients for similar services.

Saving and Using Templates within Projects

Another simple way to begin your template library is by doing so while you’re building out your project proposal. Have a standard set of contract terms you always use? Or typical services you usually bring into proposals with your clients? Save those to your templates while you’re editing the proposal so you can easily pull them into future projects using the template library within your projects.

  • Saving a Service or Contract Term to Library from the Proposal Editor:
While editing a proposal, you can save any services or contract terms directly to your personal library. This ensures that all your unique details from description to price are readily available for future projects, helping you avoid recreating proposals from scratch while maintaining consistency.

  • Saving a Scope to My Templates from the Project Table or Proposal Tab:
After you’ve built out your scope of work within a project proposal, you can save it to "My Templates" directly from the project table or proposal tab to use in future projects. A simple, one-click way to re-use this template in the future.

Building Out Your Template Library for Future Use

Even if you don’t have a project need right at this moment, taking the time to build out your template library can streamline your work as future needs come up. Editing and organizing templates within the “My Templates” tab is the main place to keep all your templates up-to-date and consistent - so you don’t have to edit project by project.:

  • Saving a Community Template from Wethos Library (Scope, Service, Term):
You can explore the Wethos template library to find scope, service, or contract term templates that suit your needs. Once found, simply save them to "My Templates" to access them for future projects. These templates are all built out by other businesses on the platform, so are a great starting point for editing to fit your business.

  • Adding Your Own Templates in My Templates (Scope, Service, Term):
You can create new templates from scratch or using AI directly in the "My Templates" section, allowing you to store frequently used project elements in one place. This helps you build a library of resources to draw from, making your workflow smoother.

  • Using Templates in My Templates to Create Projects (Scope, Service, Term):
Once you’ve saved your templates to "My Templates," you can easily create new projects with them as the foundation. Whether it’s a scope, service, or contract term, simply click “use in a new proposal” to get your next project proposal started.
