Learn how to manage your invoice data and charts

Welcome to your new invoice page, your central hub for managing invoices and payment data. Here, you can easily oversee your invoices, track payment history, and metrics, as well as create or schedule new invoices. Check out our Help Center articles to learn more about how to create or schedule invoices. Once you've initiated invoicing for your projects, dive into analyzing your invoices, payments, and earnings data.

Invoices in Wethos

It's important to keep in mind that your invoices will not automatically record payments when a client pays your invoice through the payment methods or outside of the platform. Once you receive a payment from your client, you need to manually mark your invoice as paid. Check out our step-by-step article on how to Mark an Invoice as Paid.

Analyzing Your Invoices by Status

You can efficiently manage your invoices based on their status or payment due date. The invoice status pie chart offers a comprehensive overview of all your invoices, with a breakdown of totals for each status. This chart updates automatically as your invoices evolve, ensuring you always have the latest information at your fingertips. If a payment is recorded for your invoice, you will see that recorded on both charts.

Analyzing Your Invoices by Payment Due Dates

Gain insights into your payment timelines by filtering invoice payment due dates based on specific date ranges. Simply select the dropdown menu and choose your desired date range to visualize it on the interactive bar graph. This feature empowers you to track and plan your finances with precision.

Filter your invoices

Want to delve deeper into specific invoices or filter them by status? We've got you covered! Easily search for particular invoices or filter them based on their statuses, all from the convenient options at the top left of your invoices list.

Sorting Invoices

You can sort your invoices directly on the Invoices page. The sortable columns include:

  • Invoice Number: Default sorting is in descending order by creation date.

  • Project Name: Sort alphabetically (A-Z or Z-A).

  • Client Name: Sort alphabetically (A-Z or Z-A).

  • Amount: Sort by value (ascending or descending).

To sort, simply click on the column header. The column currently being sorted will be bolded, and an arrow will indicate the sort direction. The sort indicator next to each column helps you see how your invoices are currently organized.

Managing Invoice Data with Hover States (For Wethos Pro⚡️ Users)

For Wethos Pro ⚡️ users, managing your invoices is made simpler with hover states that display quick actions for each invoice. When you hover over an invoice on the table, additional quick action options will now appear on the right side of the row. These actions help you manage your invoices more efficiently:

  • Edit: Available for invoices in all statuses except Paid. Clicking this will open the invoice editor.

  • Duplicate: Available for all invoices except scheduled invoices that are part of a payment schedule, allowing you to create a copy of the invoice and open it in the editor.

  • Menu: The menu offers more detailed actions depending on the invoice's status:

    • Draft: Edit, Mark as Paid, Schedule, Download PDF, Duplicate, Delete.

    • Scheduled (Invoices not belonging to a Payment Schedule): Edit, Mark as Paid, Unschedule, Download PDF, Duplicate, Delete.

    • Scheduled (Invoices belonging to a Payment Schedule): Edit, Mark as Paid, Download PDF.

    • Sent/Overdue: Send Reminder, Edit, View, Mark as Paid, Download PDF, Duplicate, Delete.

    • Paid: View, Duplicate, Download PDF.

Downloading Invoice Data as CSV

You can now download your invoice table data as a CSV file. This feature allows you to easily export and analyze your invoices.

To download a CSV of your invoice data:

  1. Go to the Invoices page.

  2. Find the Download CSV button to the right of the status filter, just above the table.

  3. Click the button to download a CSV file with all your invoice data.
