Want to duplicate an invoice you’ve already created? Do you have an overdue invoice that you need to edit or do you have an invoice that was sent but now you no longer have a need for it and want to delete it? No problem!
This article will provide you with a detailed step-by-step guide on how you can duplicate, edit, or delete invoices.
Accessing Invoices
You can access your invoices in two ways:
1. Invoices Page: Navigate to the Invoices tab from the main dashboard to view all invoices across your account.
2. Projects Page: You can also find invoices related to a specific project by going to the Projects page and clicking on the Invoices tab within the project.
New: Hover States for Wethos Pro⚡️ Users
For Wethos Pro ⚡️ users, managing your invoices is made simpler with hover states that display quick actions for each invoice. When you hover over an invoice on the table, additional quick action options will now appear on the right side of the row. These actions help you manage your invoices more efficiently:
Edit: Available for invoices in all statuses except Paid. Clicking this will open the invoice editor.
Duplicate: Available for all invoices except scheduled invoices that are part of a payment schedule, allowing you to create a copy of the invoice and open it in the editor.
Menu: The menu offers more detailed actions depending on the invoice's status:
Draft: Edit, Mark as Paid, Schedule, Download PDF, Duplicate, Delete.
Scheduled (Invoices not belonging to a Payment Schedule): Edit, Mark as Paid, Unschedule, Download PDF, Duplicate, Delete.
Scheduled (Invoices belonging to a Payment Schedule): Edit, Mark as Paid, Download PDF.
Sent/Overdue: Send Reminder, Edit, View, Mark as Paid, Download PDF, Duplicate, Delete.
Paid: View, Duplicate, Download PDF.
Note: You will only be able to make updates to an invoice that is in a draft, sent, scheduled, or payment overdue status. Once an Invoice has been paid or marked as paid, you will not be able to make any updates to it. You also won’t be able to duplicate any deposit or payment schedule invoices.
Duplicate an Invoice
Duplicating an invoice allows you to quickly copy all invoice details into a new invoice. This is helpful when you want to create an invoice with similar items, services, or fees without starting from scratch.
To duplicate an invoice:
Go to the Invoices page or the Projects page and click on the Invoices tab.
Hover over the invoice or click the three dots (depending on whether you are a Wethos Pro⚡️ or Wethos Starter 🌱 user).
Click Duplicate. This will create a copy of the invoice and open it in the invoice editor for further adjustments.
Note: You cannot duplicate an invoice if it is part of a payment schedule or has already been paid.
Edit an Invoice
To edit an invoice:
Go to the Invoices page or the Projects page and click on the Invoices tab.
Hover over the invoice or click the three dots (depending on whether you are a Wethos Pro⚡️ or Wethos Starter 🌱 user).
Click Edit to open the invoice in the editor.
Make your necessary changes, then save or schedule the invoice.
Delete an Invoice
Invoices that are part of a payment schedule or have already been paid cannot be deleted.
To delete an invoice:
Go to the Invoices page or the Projects page and click on the Invoices tab.
Hover over the invoice or click the three dots (depending on whether you are a Wethos Pro⚡️ or Wethos Starter 🌱 user).
Click Delete, and confirm that you want to delete the invoice
Important Notes
You cannot edit, duplicate, or delete an invoice that has already been paid or is part of a payment schedule.
Once an invoice is sent to a client, any changes that you make to the invoice will be reflected in the client link that you sent.
Deleting an invoice is only possible if it hasn’t been paid or included in a payment schedule.
If you are a Wethos Pro⚡️ user, you will also be able to schedule invoices to be sent at a later date as well as send your clients reminders about your invoice.
